This position is Hybrid after 90 days of employment following a positive review.

 
The primary focus of the Systems Analyst is to manage, maintain and support the HR talent management, HRIS platforms and other information systems for the Human Resources Department.  The systems analyst works collaboratively with the HR and IT departments, university constituents, vendors, third parties and other stakeholders to ensure current and future HR systems are maximized for effectiveness to support the department’s and university’s business. Serves as a technical point-of-contact for the HR department.  Hybrid work schedule.

Essential Duties & Responsibilities:

Systems Management, Maintenance and Support

    • Collaborates with AVP-HR on system selection and maintenance
    • Develops plans on testing and implementation of system upgrades and modifications
    • Ensures upgrades and modifications are successfully tested before implementation in live environment
    • Reports system issues to systems vendors and works with vendors to resolve the issues
    • Keeps all systems updated with accurate data
    • Documents all processes, changes, and results in report log
    • Works with HR, IT staff (if necessary) and systems vendors to identify and implement upgrades

Project Management

    • Acts as project manager or team leader for the development of new or revised human resources systems, processes and related procedures
    • Develops and executes implementation plans
    • Drafts or revises related policies and procedures
    • Assigned lead responsibilities on an on-going basis for management of talent management platform, HRIS, HR intranet site, and other HR software
    • Works collaboratively with functional experts in support and administration of other HR systems (payroll, time and attendance, and other platforms)
    • May provide overall project management for any given HR initiative

Process Improvement

    • Recommends process/service improvements, innovative solutions, policy changes and/or variations from established policy/procedures
    • Serves as key liaison with third parties and other stakeholders

Data Access and Security Management

    • Manages access to human resources data in talent management and HRIS platforms
    • Establishes security access criteria and ensures users have appropriate security access levels
    • Authorizes access in accordance with criteria and maintains accurate records of access authorizations

Reports, Queries, Data Analytics

    • Creates and assists AVP-HR in development of standard reports for ongoing needs and enlists assistance of external vendors as required
    • Creates data analytics reports for workforce planning
    • Helps maintain data integrity of systems by running queries and analyzing data
    • Works collaboratively with HR staff to identify information requirements
    • Works with IT staff to resolve complex issues
    • Creates ad hoc reports when necessary

Workflows

    • Develops and documents workflow processes to create efficiency in the operation of HR information systems, using flowcharts when necessary
    • Implements and executes new and existing work flow processes in collaboration with the AVP-HR
    • Works collaboratively with IT (when necessary) and external vendors to implement complex workflow processes

Training

    • Plans, schedules, provides training classes for staff and faculty as needed on the utilization of the talent management system
    • Provides specific training on new processes or functionality
    • Provides initial training to new users whether in HR department or internal constituents
    • Develops user procedures, guidelines and documentation for all HR processes and cross-training documentation

System Costs/Billing

    • Understands current systems costs, costs of enhancements and custom reporting
    • Reviews and processes all billing associated with talent management system
    • Ensures current GL (general ledger) numbers are assigned
    • Obtains approval from AVP-HR

HR Staff resource

    • Acts as back-up to HRIS Assistant for the following platforms: ADP Enterprise Time and Attendance, OnBase, Colleague, and Informer reporting
    • Acts as technology resource for HR staff

Requirements


Education & Experience
:

  • Bachelor of Science in Human Resources with relevant management of information systems courses or computer science
  • Combination of degree and Internships/work experience is acceptable
  • Exposure to SaaS-based solutions a plus such as PeopleAdmin. Will train on SaaS platform.
  • Prior experience developing and generating reports and analytics OR completed school projects are acceptable
  • Advanced proficiency in Microsoft Excel and Google Sheets
  • Must have excellent technology skills, including MS Office Suite, Google Cloud platforms
  • Working knowledge of Adobe Acrobat DC a plus
